This Privacy Policy applies to all services provided through the Wisribe mobile application and the Wisribe website. If you use the Application or the Website, your personal data will be processed in accordance with this Privacy Policy.

2.1 Data You Provide Directly

• Account Information: Your name, email address and authentication information when you create an account or sign in. Authentication is provided through Firebase Authentication. If you sign in using an email address and password, your password is not stored by, or accessible to, Wisribe.
• Audio and Video Recordings: Audio recordings you create using the Application, or audio and video files that you upload from your device when using the Application's features.
• Processing Results: Transcripts, summaries, and other content generated from your audio or video recordings through the Application's artificial intelligence features.
• Contact Information: Information and messages you provide when contacting us through customer support or the contact form.
• AI Prompts (Optional): With your explicit consent, prompts you enter while using the Application's artificial intelligence features, together with the selected language and the time of creation, may be collected anonymously for the purpose of improving our services.

2.2 Data Collected Automatically

To maintain the security of the Application, improve its performance, identify technical issues, and enhance the user experience, we may automatically collect the following information:

• Device and Application Information: Device model, operating system version, application version, and similar technical information.
• Regional Information: Language preference, time zone, and, where necessary, approximate country information.
• Account Usage Information: Account creation date, last sign-in time, and information related to account session management.
• Notification Information: Your device's push notification token (Firebase Cloud Messaging Token) to enable the delivery of push notifications.
• Usage and Diagnostic Information: Information about your interactions with the Application, usage statistics, crash reports, error logs, and performance data.
• Subscription and purchase information: Your subscription plan, subscription status, product identifier, purchase and renewal dates, and other subscription-related information necessary to provide the Services.

Some of this information may be collected through third-party services such as Firebase Analytics, Firebase Crashlytics, and Firebase Cloud Messaging.

3. Purposes for Which We Use Your Data

We use the data we collect for the following purposes:

• To process your audio recordings and provide the artificial intelligence features you request, such as transcription, summarization, and other audio processing features.
• To create, authenticate, and manage your account.
• To manage your subscriptions, purchases, and usage entitlements.
• To maintain the security of the Application, monitor its performance, and improve our services.
• To identify technical issues, analyze error reports, and improve the stability of the Application.

• To comply with our legal obligations and, where necessary, protect our legal rights.
• With your explicit consent, to analyze anonymous usage data for the purpose of improving our artificial intelligence features and overall user experience.

4. Artificial Intelligence Processing and Third-Party Service Providers

Wisribe uses artificial intelligence technologies to transcribe your audio and video recordings, provide audio processing features, and deliver the AI-powered services you request.

The processing and transcription of audio and video recordings are performed through server infrastructure operated under our control.

To provide certain AI-powered features, such as text summarization and similar services, we may use the APIs of trusted third-party AI service providers when necessary. In such cases, only the data required to perform the requested processing is shared.

When selecting third-party AI service providers, we give preference to API services whose policies state that submitted data is not used to train their general artificial intelligence models.

Your audio and video recordings, and any data derived from them, are used solely for the purposes described in this Privacy Policy.

With your explicit consent, your AI prompts, together with the selected language and the time of creation, may be analyzed anonymously for the purpose of improving our services. This information is not associated with your identity and is not stored together with your personal account information.

5. Data Retention

Audio recordings, transcripts generated from those recordings, and AI-generated content (such as summaries and meeting analyses) are deleted from our servers after processing has been completed and the results have been successfully delivered to your device.

If, for any reason (including network connectivity issues, your device being offline, or other technical reasons), the processing results cannot be successfully delivered to your device, the relevant audio recordings, transcripts, and AI-generated content will be automatically deleted from our servers no later than 25 hours after they are created.

Your account information (such as your name, email address, and account settings) is retained for as long as your account remains active in order to provide our services.

If you delete your account, your account information may be retained for up to 90 days for the purposes of complying with our legal obligations, preventing fraud and abuse, resolving potential disputes, and completing technical backup processes. After this period, your personal data will be permanently deleted or anonymized, except where retention is required by applicable law.

6. Data Security

We implement appropriate technical and organizational security measures to protect your personal data against unauthorized access, alteration, disclosure, or loss. These measures include access controls, secure communication protocols, secure cloud infrastructure, and regular security assessments.

However, no method of transmitting data over the Internet or storing electronic data can be guaranteed to be completely secure. While we take reasonable and up-to-date measures to protect your personal data, we cannot guarantee its absolute security.

Wisribe is not intended for children under the age of 13. If the laws of your country or region require a higher minimum age, the applicable minimum age under those laws shall apply.

We do not knowingly collect personal data from, or allow the creation of accounts by, children under the age of 13 (or the applicable minimum age under relevant law). If we become aware that such personal data has been collected, we will delete it, or take the necessary steps to do so, within a reasonable period of time.
